How STM Prop handles website and enquiry information.

This notice explains what information STM Prop collects through this website, why it is used, when it may be displayed or shared, and the choices available to you.
Depending on how you use the service, we may collect your name, email address, mobile number, account credentials, enquiry and appointment information, property details, photographs, documents, approximate or exact map location, land and survey information you choose to provide, and technical information such as IP address, browser details and security audit events.
We use information to create and secure accounts, verify contact details, publish and manage property advertisements, match buyers and sellers, process enquiries and site visits, operate inventory and document workflows, prevent fraud and abuse, provide customer support, comply with legal duties, and improve service reliability.
Information included in an approved property advertisement may be visible to website visitors. This can include the property description, photographs, price, address and map information supplied for publication. Do not submit survey identifiers, documents, personal contact details or a precise residential location for public display unless you are authorised and want that information published. Contact us if a published listing should be corrected or removed.
Documents uploaded to the inventory vault are restricted to authorised portal users by default. A portal administrator or owner may deliberately enable a revocable public share link. Anyone who receives an enabled link may download that document, so confidential material should not be shared publicly.
We may use hosting and database providers, email delivery services, Google authentication, maps/geocoding services and analytics services configured for this website. They receive only the information needed to provide their service. We may also disclose information when required by law, to protect users or the service, or as part of a business transfer with appropriate safeguards. We do not sell personal information.
We retain information while it is needed for the purposes above, for transaction and property records, to resolve disputes, and to meet legal, tax, security and backup requirements. An account-deletion request starts a review process; it does not immediately erase records that must be retained or information contained in active transactions. Data that no longer needs to be retained will be deleted or anonymised under our retention process.
We use access controls, password hashing, encrypted transport, audit logging, upload restrictions and session controls. No internet service is completely secure. Please use a unique password and notify us promptly if you suspect unauthorised account activity.
You may ask to access, correct or delete your personal information, withdraw consent where processing relies on consent, or raise a grievance. We may need to verify your identity before acting on a request. You can also disable optional analytics through browser or consent controls when available.
